Introduction

Great to have you tune in to Built your Core where we explore and discuss topics around how you build your business with people. With only 8 weeks to go it is a great time to review what is next in your business. You might be ready to invite more people into your business and there are many things to consider, so let’s look into having yoUR Business Blueprint ready.  

The key to successful individual excellence lies in the combination of skills and mindset. Adding people to our team is important and it is our responsibility to set people up for success. We need to consider a person’s behaviour, their values (what motivates and inspires them) and what their natural talents and skills are but what else do we need?

We need to provide clarity at every step of the journey. Today we are looking into why Standard Operating Procedures are necessary in your business. 

This week we continue the new programming structure. We use a Balanced Scorecard to format our weekday shows: Finance (Monday) = Operations (Tuesday) + Sales (Customers) + People (Employees) with Fridays dedicated to Owners/Entrepreneurs. Look at the week this way - Monday through Thursday is working IN the Present, Friday is working ON the Future.

Also, we just built a new community, our version of a Chamber of Commerce. Join Up and gain access to our Hosts and access our library of best practices.

​Show Objectives
This week’s conversation is all about why Standard Operating Procedures are necessary in your business. The documentation is required to run your business smoothly and be compliant. I will approach it from a simple place as sometimes it can get a little bit confusing. The end game, as we are progressing from stage III to stage IV, is to have our business operate as a system. In simple terms Standard Operating Procedures can be explained as the what (do we need to get the task done) and the Process is the how. 

What You Need to Know
As your business is growing and more people get involved it’s time to review what you have in place and what could be missing. This is the opportunity to capture repetitive tasks allowing people to output consistently and focus on other areas of your business. People need clarity.  


Key Issues:
Owner/Manager Perspective: 
  • The knowledge and information lives in the leaders/owners/managers heads 
  • The misconception that SOP’s can be like a handbrake for the business, that it is more of a hindrance on the business’s performance
  • SOP’s has the potential of stifling the flow of the business, which could result in reduced output
  • SOP’s are treated as a separate item within the business, rather than integrated 
  • Key stakeholders are not included in the development and roll out process
  • No time to properly conduct training 

Opportunities:
  • Stop guessing, start knowing how your business is performing
  • Capture the repetitive tasks (eg onboarding of new people)
  • Opportunity to reduce variables and create consistency in output
  • Continuous improvement cycles allows you to improve your business where required (the 1%’s)
  • People confidently performing their roles and understanding what to do (not bothering you for everything)
  • People safety

What You Need to Do
  1. Understand your reasons for having the SOP’s
  2. Involve your key stakeholders in the process of design and testing
  3. Provide well written documentation using the  language that is in alignment with the business
  4. Train your people regularly 
  5. Communicate  
  6. Implement a continuous improvement cycle

In summary:
By having SOP’s we reduce variables, create consistency,  increase productivity, profitability and create a workforce that delivers time and time again.
