Introduction

This week the discussion is on the importance of having Standard Operating Procedures (SOP) available for all processes. When we think of the documentation required to run and manage our business, many business owners and managers can mix the need for policies and procedures, SOPs, processes, and best business practices.

During the session today, we will ensure to highlight some differences in the requirements between a process and SOP. The process is used to ensure stakeholders are aware of the workflow. However, the SOP will provide the high-level elements and break them down into more details.

Imagine being in a factory where the workers are unsure and unfamiliar with the equipment and how to operate. What would be your response to the individual when they get hurt on the job and were never provided proper safety measures? This goes beyond simple training. Employees must be aware of the proper processes and standard operating procedures for the job.

Crafting well-documented SOPs will not only provide safety and security for employees, but also streamline processes within the organisation for its smooth functioning.

Show Objectives

The objective this week is to gain an understanding of the criticality of Standard Operating Procedures being available for all processes in your business and what you need to do to ensure the same.

Key Issues

  1. Employees and other stakeholders are required to meet a standard but may not be familiar with all steps required to ensure compliance.
  2. SOPs include the HOW but not the WHY while being crafted
  3. Writing SOPs with a negative connotation, mentioning what does not need to be done instead of what needs to be done.
  4. Business owners are under the assumption that procedures are not needed due to the existing mapped processes or policies
  5. Standard Operating Procedures are not tested before being imbibed in an organisation and are not reviewed regularly.

What You Need to Know
1. SOP’s Promote Positive Change
2. SOPs ensure uniformity and standardized processes
3. SOPs ensure ease in organized growth
4. SOPs make delegation of tasks easy
6. Resolves Challenges

What You Need to Do

  1. Begin with the end in mind
  2. Select a proper format and stick to it
  3. Write for your employees
  4. Seek input from relevant team members and stakeholders and lastly,
  5. Test & Review Regularly - in order to ensure efficiency within your organization!
