Introduction
Now that you are starting to gain clarity around you as the partners in the business, gaining clarity on who is best suited to do what, the final piece in the clarity pillar is; How do you expand that clarity across the business? What do you need to do to maintain the level of service which you are so great at providing? Does everybody get what that looks like?

Many decisions in partnerships are made through a conversation, other over the dinner table and at the time it might have been a good idea between the partners, however the people you have put in charge of a certain area might not agree or have been involved. They will be the ones affected so it pays to get input and feedback as part of the process. When you just implement and people that are doing the doing are not involved you run a great risk that your hard work and investment might go to waste.

When people are not engaged and have not bought in no matter how good the idea your well intended efforts will more than likely fail. Whatever you develop, make your team/people part of the conversation and process. Let’s get in the habit of working smarter, not harder.

In this episode we look at what you need to know when creating, developing or reviewing your systems and processes, some best practices and how to understand the pitfalls and the success it can bring you.

Processes and standard operating procedures often get viewed as a necessary “evil” , last on the list, they are not as sexy and exciting as sales and marketing and I get this, it is definitely  not one of my favorite things, but... unless you want to stay where you are (which I know you don’t) you need this part of the business to run well as this will allow you to grow and scale. It is not a handbrake, it is actually an accelerator for your business. 

 
Like with most things in your business you do need to take some time out and plan, what is it that you are looking to achieve? Will it meet your organizational goals? Remember everything that we do is with this outcome in mind, creating a win-win-win situation for you, the business owners, the team and ultimately the client. 

Key issues from a partnership perspective: 
  • The knowledge and information lives in your head, perception model and common sense is not agreed by all
  • The misconception that SOP’s can be like a handbrake for the business, that it is more of a hindrance on the business’s performance
  • There is no time to work on this we are so busy, (this is precisely why you need it) 
  • SOP’s are treated as a separate item within the business, rather than integrated 
  • Key stakeholders are not included in the development and roll out process
  • No time to properly conduct training or review whether it is working for your business, many business owners have been burnt as they underestimated the impact change causes  

Opportunities:
  • Stop guessing, start knowing how your business is performing
  • Capture the repetitive tasks (eg onboarding of new people)
  • Opportunity to reduce variables and create consistency in output
  • Continuous improvement cycles allows you to improve your business where required (the 1%’s)
  • People confidently performing their roles and understanding what to do (not bothering you for everything)
  • People safety and understanding other risks within your business
  • Saving you time, increased efficiencies  and profitability 

What you need to know
  1. What is it that you are looking to achieve, needs analysis, what are you looking to achieve
  2. Start dumping your ideas out of your head one of the ways I coach my partnerships is with sticky notes works a treat, gets the creative juices flowing
  3. Map the steps/processes, you can use various tools for this I like to use flowcharts as they are easy, visual and good to play around with 
  4. Who will this impact in your business, get your team involved in the conversation 
  5. Get familiar with once you get started what the steps are of keeping it alive and relevant 
  6. How much can you automate> get good advise before spending $$$$$$ on introducing software solutions, you must know what problem you are solving

What You Need to Do
  1. Communicate the reasons why you are building this into the business and communicate this as part of your organisational vision (Understand your reasons for having the SOP’s)
  2. Involve your key stakeholders in the process of design and testing
  3. Train your team 
  4. Provide well written documentation using the  language that is in alignment with your business 
  5. Implement a continuous improvement cycle

In summary:
By having SOP’s you reduce variables, create consistency,  increase productivity, profitability and create a workforce that delivers time and time again achieving a win-win-win.
